Event Hosting Requirements - College and High School

The NCPA prides itself in the exemplary standards of sportsmanship, competition and behavior exhibited by our teams, and host facilities find hosting NCPA events to be one of the most pleasant aspects of their business.

The NCPA has been sanctioning paintball tournaments since 2000, and has sanctioned more paintball tournaments than any other organization in the history of paintball (over 200). The event hosting requirements are designed, in light of our extensive experience, to ensure a positive experience for both our members and the host field.

College Event Requirements:

College events must be hosted by a college team, so fields interested in hosting a college tournament should contact a college team in their area. The NCPA would be happy to refer you to a team in your area if you email ncpa@college-paintball.com. Both the host team and the host field have requirements when hosting NCPA events. The team and field are responsible for making sure all requirements are met between them.

Once an event is sanctioned, it will be added to the NCPA calendar and APPA registration system. All teams and players will be required to register online through the APPA player registration system. The NCPA will provide rosters, scoresheets, and game schedules for each event in electronic format. Rosters and scoresheets must be printed, completed, and returned to the NCPA.

Hosting Requirements - Host Field:

  • Host fields must carry paintball-specific commericial liability coverage. Fields not carrying liability insurance may not host NCPA events under any circumstances.
  • Pay a $20 per team per event sanctioning fee to the NCPA. (Example: $120 for 6 teams, $400 for 20 teams)
  • Provide level, mirrored, concept fields suitable for 5-man play.
  • Provide qualified, adult judges for each field. College events may *NOT* be officiated by members of any college team.

    Adult means 18 years of age or older. Up to one third of judges may be 16 years of age or older. Under no circumstances is anyone under 16 years of age considered a qualified judge without prior consent from the NCPA President.

    Qualified means has previous tournament judging or play experience and is familiar with NCPA or PSP X-Ball or 5-man rules as appropriate for the format being played. Regular recreational field judges without tournament experience are not considered qualified.

    Insufficient Judges: In the event that insufficient judges are provided, the host field will be fined $100 per judge less than required, and $50 per judge that is not qualified or does not meet the adult requirements.

  • Provide both compressed air and Co2 fills for all players (included in entry fee).
  • Provide, at a minimum, team trophies for 1st through 3rd place. Individual medals and/or trophies are encouraged.
  • Retain and make available results of the event to the NCPA. This requirement may be met by using the APPA scoring system, which is available to host fields for free for NCPA events.
  • Ensure that all team rosters are completed prior to play.
  • Ensure that NCPA game rules are used, and that officials are familiar with said rules.
  • Promote the event locally.
  • Collect payment from teams for the event and update each team's payment status on the team list through the APPA system. Host fields may elect to accept automatically processed online payments through the APPA system (with money directly deposited in the field's existing Paypal or Authorize.net account, or deposited in the NCPA account with a check issued to the field). Merchant account fees from online payments are the responsibility of the host field.
  • Prizes may not be awarded for placing at NCPA-sanctioned events. Prizes for sportsmanship (refs should vote) or prizes that all players have an equal chance of winning (i.e. free raffle) are acceptable.

Entry fee, paint and any concession or other revenue, except for the $20 per team sanctioning fee, and ny merchant account fees from accepting online payments are the property of the host field. The entry fee *MUST* include air fills for players for the duration of the event (no separate air charges).

IMPORTANT! Entry fees are due 10 days prior to the event. To encourage teams to pay early and reduce the chances of no-shows, teams that pay an entry fee at the event must pay a $50 late fee. If the field collects the entry fee at the event, the field MUST collect the $50 late fee as well.

Hosting Requirements - Host College Team:

All requirements must be completed before a host team will receive any ranking points for participation in the event.

  • Neogitate pricing (entry fees and paint cost) with the host field.
  • Inform the NCPA by email (events@college-paintball.com) of the following event information as soon as possible:
    • Name, date, location (field, city, state) of the event
    • Pricing, including entry fee and paint brands and costs
    • Contact name, phone number and email of a contact from the HOST TEAM
    • Contact name, phone number and email of a contact from the HOST FIELD
    • Links to:
      • Web site of the host field
      • Web site of the host team
      • Link to Google Maps map of the event location (site must be maps.google.com; enter address into Google Maps and then use the "Link to this page" function)
    • Time of the captains meeting and start of play
    • Maximum number of teams allowed (Should be higher than number of teams reasonably expected to attend)
    • Name of field's liability insurance carrier
  • The day before the event, print team rosters and scoresheets from a file provided by the NCPA. At the event, ensure that every player is listed on and signs their team's roster. The host team must mail completed rosters and scoresheets to the NCPA. The host team will have 1 point deducted from their top ranking score from the event for each player at the event who has not completed the signup process prior to play.
  • Provide the NCPA with complete event results. This requirement may be met by using the APPA scoring system, which is available for free for NCPA events. Failure to provide complete event results will result in a -100 point penalty assessed against the team's ranking.
  • (Encouraged) Take and provide to the NCPA photos of the event, including action shots, staging shots, and at least one photo of each team placing in the top four. Digital photos should be uncompressed and high-resolsution (1280x1024 and up).
  • (Encouraged) Write and provide to the NCPA at least one article covering the event.
  • (Encouraged) Have the event published/covered in at least one local media outlet (school or local paper, local news, etc) and provide the NCPA with a copy or tape of the coverage. Sending a press release to local media is strongly encouraged.
Note that events must be attended by a minimum of 6 teams from 4 different schools to receive the maximum number of ranking points. Points awarded for first place will be reduced by 10 for each team less than 6 in attendence, and by 10 for each school less than 4 in attendence, with points for lower places adjusted accordingly.

High School Event Requirements:

All teams and players are required to register online through the APPA player ID system. The NCPA will provide rosters, scoresheets, and game schedules for each event.

Field Hosting Requirements:

    • Name, date, location (field, city, state) of the event

    • Contact name, phone number and email of a contact from the HOST FIELD

      • Mapquest map of the event location (site must be mapquest.com)
    • Time of the captains meeting and start of play
    • Maximum number of teams allowed (Should be higher than number of teams reasonably expected to attend)
    • Name of your liability insurance carrier
  • Host fields must carry paintball-specific commericial liability coverage. Fields not carrying liability insurance may not host NCPA events under any circumstances.

  • Provide at least four qualified, adult judges per field. (See college requirements for more detail.)
